Term Time Sessions run along side school terms (usually 10 weeks).
So employment and pay are also run in line with this.
What coaches probably want
Coaches probably want to be paid on the day of the session they do, and probably would prefer cash.
This method doesn't work for our program on a few levels.
- We need a way to ensure that coaches commit in full for the term. Even with the best of intentions, coaches who do not have an incentive to turn commit for the term will eventually drop out without notice. The program suffers hugely if this happens. So we need a way to ensure coaches comply with the requirements of the program in terms of reliability and professionalism.
- We also need at least 4 weeks notice if a coach decides to leave the program. This 4 weeks allows us the time we need to find a replacement coach.
- To comply with accounting laws all coaches are employed as sub-contractors. Coaches therefore need to submit an invoice for the sessions that they have coached and want to be paid for.
In terms of getting paid, these are the options:
- Coaches that want to be paid weekly, must work 4 weeks in arrears.
- Coaches can choose to be paid for the term, at the end of term. Coaches who choose this option over option 1, will get a better rate of pay than that in option 1.
- Coaches can choose to have a bonus element to their pay, which gets paid based on achieving an acceptable level of professionalism and reliability. Coaches who choose this option, will get a better rate of pay than that in option 1 &2.
The conditions laid out in method of part (part 1) must also be complied with.

There are 2 parts to pay: A Base rate and a Bonus Rate

This bonus is connected to a very high level of coaching and professionalism:
- Coach at a very good level, and be:
- 100% committed to the program
- 100% presentable
- 100% reliable and
- 100% punctual.
This not an unreasonable expectation and so the bonus rate should not be something to fear, unless you are unable to act professionally.

If successful there is Probationary period
Usually Session 2 to the end of term.
Methods of Pay options
Note: Pay is paid 4 weeks in arrears, regardless of which option is chosen.
- Our preferred method: Coaches who choose to be paid (base + bonus) at the end of term will get paid in full at the end of term, subject to all the conditions above being met.
- Paying weekly creates more admin and the agreed rate may therefore be reduced to offset the extra work involved in paying coaches weekly.
We need coaches to commit to the end of term, unless otherwise agreed, agree to be paid 4 weeks in arrears, and also give 4 weeks notice (in writing) if they plan to stop coaching at TST.
This is the Safety Net.
It is in place to ensure we employ coaches who act professionally, and are definitely committed to the program for the period agreed, and give us sufficient notice to find a replacement if need be.
Coaches once committed to a term, need to be available throughout that term. Dropping out half way through a term is very problematic for the program. Coaches must give at least 4 weeks notice if they can no longer coach (Use team app or email to communicate this). Coaches who don't act professionally and don't provide appropriate notice will not be paid for any of the sessions they have done (but not been paid for), up to the point of leaving.
To ensure the 4 week in arrears rule is adhered to, Pay is paid, 4 weeks after the submission of the invoice.
The safety net should not be feared. It is only an issue for coaches who are not able to be professional and reliable.
